The Various Aspects Project Management

For the success of any project management program, a specific skill set is required. All project management programs are unique and have their own set of challenges obstacles and solutions. A successful project management plan should have a dedicated team that concentrates on effective planning; accurate analysis and skill based objective building that is centered round the project at hand.

Some of the main challenges of project management are

  • Proper and effective communication with the firm’s stake holders
  • Managing employee stress and pressures that arise out of projects
  • Proper allocation of resources that results in high profits
  • Preparing in advance for potential problems that may arise in the project
  • Assigning responsibilities to employees based on their capabilities.

Here are some of the key aspects of a successful project management program:

You can call your project management plan a full success when three main factors are taken care of:

  • Resource allocation
  • Completion of targets within time lines
  • Completion of targets within the allocated budget and resources

This can happen only when you have a full understanding of the business and what you desire from it. Firstly, conduct a detailed analysis of your business and understand its structure and mode of operation fully and accurately. Take care of even the smallest and most irrelevant detail before implementing a project management program. Set definite goals that are sound and realistic within achieve-able timelines.

Decide the necessary methods and equipment required for implementation of the plan beforehand itself so that you can start on time without any delays and loss of valuable resources.

And lastly make a thorough plan with the complete details of all expected expenses and resources that will be required. This is highly important as money matters the most in any project management plan for any firm.

The Four Main Phases of Project Management

It is important to have a watertight project management strategy for any project that is implemented today. This is what ensures on time completion of work with optimum use of resources. Here is a basic guide to the four phases of project management. Successful implementation of each phase will make way for the next.

    1. The initiation
    2. The project level installation
    3. The enterprise level installation
    4. Maintenance

Initiation phase: In this phase primary or first-hand data collection is carried out. Various pilot projects aimed at elimination all resistance to changes, are carried out simultaneously. All the methodology of project management is taught to employees and work force is allocated to different areas of the project depending upon the skills and caliber required.

Project-level installation: All the primary data that is gathered in the first phase is utilized in this phase of project management to formally establish a way of working. The employees allocated to each department are trained to work with the news systems and software. Completion of this phase marks the establishment of the nucleus of the project management program.

Enterprise-level installation: in this phase, the main focus is on complete management of all of the firm’s current projects as well as making every required resource available for current as well as future projects. Providing accurate information about the project status of all on-going projects, assigning priorities to different projects and procedures involved in their implementation, incorporating any changes related to various aspects of the projects are some of tasks carried out at the enterprise level phase.

Maintenance phase: This is the last and final phase of the project management program. All the people in-charge of the project management, are now fully trained and competent to handle all of the enterprise level changes and can analyze any and all information and situations that are bound to come up.

More and more young graduates are taking up project management as a career choice. Last year, an approximate two million took up project management in the United Kingdom itself. To become the best in this industry, you need to have a zeal for leadership and be capable of handling highly stressful situations with patience and diligence.  The salary is pretty good as there is a high demand for efficient project managers in every field today from multinational corporations to advertising agencies to NGO’s.

Here are some details on how you can get in this industry:

Project management requires a lot of experience of the sector you wish to go into. Initially, the most experienced person in the organization was appointed to take up the role of a project manager. It is only in the last two decades or so that junior roles have been allocated for fresh graduates who wish to take up project management as a full time job. These roles are in the form of internships and they extend anywhere between three to twenty-four months. Vacation internships are also available today. You will generally start from an executive role and move up the ladder. These administrative roles are very important to lay a strong foundation for project management.

A typical project manager has to mange four aspects of any project; Time, man-power, resources and finances. So it is advised that you work alongside an experienced project manager to learn the tricks of the trade before you start off on your own.

The salary that you can earn as project manager can be anywhere between twenty thousand pounds at the initial level to more than a hundred thousand pounds when you are in senior roles. A Basic Guide to Project Management

When hiring a project management consulting company for assistance in implementing a project management program at your workplace keep the following two factors in mind. One, the experienced consultants are aware of the fact that each project management program has its own sets of requirements. What worked at one place may not work at the other. Customized project management programs are the need of the day as there is no such thing as a universal solution over here.

Secondly, implementing any project management program has its own set of challenges. And proper implementation of the program is often crucial, to the success of your projects. As such it is important to adopt a phased approach for the project management program. These phases should mainly take care of the following key aspects

    1. Overcome any and every resistance to the project management program form all departments in a civilized manner.
    2. Make space for the lessons already learned by the employees and adopt them in the new project management program.
    3. Construct a solid data bank for all available data on the project(s) at hand.

To complete the implementation of a project management program, the following challenges should be accomplished by the consultant. If the project management program is not implemented with careful attention to detail and to each of these challenges, it is bound to derail and this in turn can have drastic after effects.

  • Proper communication with the stake holders of the firm
  • Guiding all the different organizational levels towards  unified goal
  • Continuous monitoring and tracking of the project status
  • Assigning various responsibilities and accountabilities to each employee based on their position and caliber.
  • Diffusing issues that have the potential to damage the project or the firm’s reputation in the industry.
  • Maintaining an optimum level of resource allocation.

IT Project Management

Many success stories are made in short time only if they follow the road less traveled. Case studies reveal that new innovative packages become a hit if they can be adopted universally. Software project management is the backbone of many successful projects worldwide. For IT project management, the use of various applications techniques to create software packages to make products is crucial. To create it the type of software developmental model is important. With it the project size, programming environment, reusable resources, and estimate is also taken into account.

Apart from the technical issues one needs to find out which people need to be trained for the job, extent of risk involved, timelines and success benchmarks. IT project management is not only developing systems but also managing people in any work environment effectively. Handling errors by juniors can be damaging to the project but how does the PM work out solutions? A little bit of experience, understanding and communication is essential to iron out problems. Quality control, worker control and what it takes to earn the pay should be taken into account. The complex relation of software models make it necessary to make sure a PM takes only one project at a time. Focused on it there are fewer chances of errors and good models can be developed. Before taking a go ahead please check with the team if they are willing to go along and are also excite about it. If someone is refusing find out why they do not want to be a part of the project. Getting the best people for the job is half the battle won. Proper IT project management will respect every individual and make successful stories.

Project Management Institute

IT in India has virtually peaked with many software technicians ruling the roost overseas. But for the last few years some projects have had a bad run and one of the biggest reasons for this is lack of quality project managers. If the technicians also have the additional resources to manage projects methodically they are likely to be more valuable to the organization. This is where a project management institute can be useful. Some do exist in the country to help the engineers to have additional qualifications to become more successful. All those technicians who have been shying way from scheduling tasks also need to know that this system is useful for them. The opportunity to make better careers as enrolling in a project management institute can get PM.

Before enrolling can check out if you have the aptitude for it. One of the most popular institutes in the country is the PMI in New Delhi, which is recognized globally. It has been in existence for quite some time and also helps in placement of careers. Many existing institutes are offering new courses in PM for business managers. Courses range from three months to three years. Certificate courses help in getting good offers from global companies. The Indian institute for social welfare and business management is one of the oldest and has some good courses for future PMs. PMCC (India) also offers some excellent courses.

Project Management Software

Computers have made it possible for every business to meet targets much earlier. New software is helping business managers to accomplish tasks like reporting, scheduling, delivery deadlines and execution with ease. Ready-made templates with charts are help PMs to fill in the data faster and monitor progress reports. Some of the key areas where project management software is of maximum assistance is scheduling, budget management, documentation, quality management and collaboration software for complex projects with large deadlines.

No matter how large or small the project is it is essential to have a computer system where one can control the entire operations. Exclusive project management software products come in built with some systems. Upgraded versions are available later. It is important that the executives handling the computer systems know when and how to upgrade the versions for benefits of the PM department. One can encounter problems but they can be tackled also.

Sometimes certain programs have other forms of dependency. Keeping this in mind one can decide what software will be applicable to suit requirements.
Resourcing people and scheduling in different locations can become complex. This is one challenge the PM can overcome by multitasking at the very beginning.
At no time the budget remains the same. In between the estimates changes as rates of vendors may change suddenly. There should be provision to make adjustments otherwise the estimates go haywire.
Sometimes following a tight schedule can be grueling. There should be flexibility also.
The critical path is also a big challenge. Sometimes there is a cascading effect of tasks that depend on one another. Some software applications are available which help in reducing the dependency.
Study some previous projects before deciding on the current scheduling. It can be used as a benchmark for knowing what outcome to expect.

Project Management Methodologies

All it takes is an idea that takes shape and revitalizes everyone to produce best results. For any business house to continue their dream run it is necessary to innovate invent and introduce products in the market constantly. Look at the cellular phone companies how they are mobilizing their creative talents and project managers to upgrade the existing technology nearly every three months. Today anything more then 90 days is considered outdated and obsolete. How come some companies are able to keep the market pulse and introduce acceptable products in the market? This is because they have certain project management methodologies that work in tandem.

Now that a particular project has been initiated it has to go through its logical conclusion. This can only happen when proper project management methodologies are applied. The board of the company gives the approval and the work begins with a time frame in mind. It is necessary at the onset to figure out the scope of project, its goals, objectives, delivery schedules, teams involved, budgets and how long it will take to reach the target consumers. Once the contracts are signed sealed and delivered to the PM it is his duty to promptly apply the project management methodologies and start work. At every stage he needs to control the project with regular reports coming in from all areas involved. In case of problem areas things should be taken care of immediately. Delays could hamper other schedules as well. Till the project is taken to its logical conclusion the PM remains in charge. The final report gives an idea if the PM has been able to achieve his targets and objectives within the time frame.
